Job Title: Personal Assistant Location: Ikoyi, Lagos Employment Type: Full-time (Hybrid) Job Summary Looking for an intellectually curious, resourceful problem solver and super organized person for the role of a "Personal Assistant”. In this role, you will be Chief coordinator and primary liaison for a wide range of personal and professional activities, serving as a "right-hand person’’ and trusted confidant(e). Key Responsibilities Serve as Chief Coordinator and primary liaison for a wide range of personal and professional activities Develop structures, tools and processes for efficient household and personal life management Provide support on strategic personal and professional initiatives and projects from conception to delivery Detailed list of responsibilities (not exhaustive): Coordinating meetings, including setting up conference calls and virtual meetings Sending out meeting invitations, preparing agendas, and distributing necessary materials Ensuring the Principal is well-prepared with relevant documents and notes Preparing reports, presentations, and briefing documents Acting as the first point of contact for internal and external stakeholders. Domestic Affairs Management: End-to-end management of sourcing and supervision of personal staff and contract workers/service providers Coordinate weekly shopping and reconciliation of expenses Prudent management and reconciliation of household budget and preparation of statements and reconciliation Coordinate effective delivery/execution of errands Identify and oversee various household projects as needed (e.g., Special event décor - Christmas, birthdays, etc., renovation projects) Develop and monitor structures for efficient household management, including household checklists, training manuals, inventory management system for household supplies, an updated product/vendor list, etc. Personal Life Management: Maintain overall calendar Book meetings and coordinate with stakeholders to align calendar as and when needed Ensure subscriptions up to date and regular payments made as and when due Schedule appointments in line with priorities communicated and routine appointments (e.g., doctor visits, dental visits) Coordinate travel including making bookings, ensuring principal has all required travel documentation and all logistics sorted Develop filing system for key documents, contacts, etc. Track birthdays and other important dates, and set up gift management system and budget for execution Ensure timely payment and filing of all financial related obligations (e.g., vendor payments). Personal / Key Requirements B.Sc in Arts with 3 - 5 years of experience. Vault-like confidentiality, high-level of integrity, and ultra-discreet Extremely resourceful and technology savvy Intellectually curious and ‘’up-to-date’’ with trends, technology and current events Highly organized with the ability to multi-task and prioritize Detail-oriented, meticulous and thorough Good communication skills High level of Emotional intelligence. Working Conditions: Location: In person with possibility for flexible, hybrid arrangement. Monday – Friday 8:30-5pm Possibility of working longer hours, weekends or public holidays where required due to principal’s work commitments/events Data and phone monthly stipend for official purposes Provision of laptop Other considerations: Health insurance; access to courses/personal development material.
