Key Responsibilities:
Payroll & Employee Administration:
- Checking time sheets and clocking records.
- Processing and verifying payroll using Intercode.
- Handling payroll queries and ensuring accurate salary payments.
- Submission of IRP5 documentation and monthly PAYE calculations.
- Completing and issuing UI19 forms, UIF documents, and declarations.
- Compiling employee-related documents, including employment confirmations, offers, and termination reports.
- Processing confidential documents such as leave forms and contracts.
Client Accounts & Financial Management:
- Creating new client profiles on Intercode and Pastel.
- Generating quotations, invoices, and statements using Pastel.
- Performing account reconciliations and resolving discrepancies.
- Managing cash flow and overseeing company banking and salary advance arrangements.
- Handling insurance claims related to company operations.
- Submitting monthly VAT returns and managing annual employment equity reports.
- Liaising with clients regarding orders, accounts, and statements.
- Handling client queries and maintaining strong customer relationships.
- Daily, Monthly, and Annual Trial Balance Management:
- Maintain and reconcile trial balances, including income statements and balance sheets.
Taxation & Compliance:
- Overseeing taxation affairs and liaising with external tax advisors.
- Ensuring monthly VAT submissions are accurate and on time.
- Compiling and submitting reports for compliance and financial monitoring.
- Managing Service Level Agreements (SLAs) and financial contracts.
Office Administration & Problem-Solving:
- Maintaining office supplies and stationery stock.
- General problem-solving related to financial and administrative matters.
- Overseeing general office management tasks.
Required Skills & Experience:
- Minimum 5 years’ experience in a financial administration role.
- Strong knowledge of payroll processing, VAT, PAYE, and tax compliance.
- Excellent client communication and account reconciliation skills.
- Ability to manage multiple tasks with high accuracy and attention to detail.
- Strong problem-solving abilities and ability to work well under pressure.
- Capable of working effectively within a team environment, contributing to shared goals, and fostering a positive and supportive workplace culture.
Software & Program Proficiency:
- Pastel (Accounting & Invoicing)
- Intercode (Payroll & HR)
- Microsoft Excel, Word, Outlook
