*Core Responsibilities:*
*Reception and Guest Support:*
1. Greeting clients and visitors.
*Communication:*
1. Switchboard operating - Answering and directing phone calls of our patients.
2. Providing information to callers and visitors
3. Taking messages and distributing mail to intended recipients.
4. Handling correspondence - Drafting and sending emails, memos, and letters.
5. Assisting with general office inquiries.
*Calendar Management:*
1. Scheduling all meetings and Managing appointments for the company director.
*Document Management:*
1. Organizing documents and maintaining standard filing system.
2. Preparing reports and presentations for all company activities.
3. Maintaining company internal directory.
*Office Administration:*
1. Ordering office supplies.
2. Managing office automated equipment.
3. Assisting with administrative tasks.
4. Processing bills and expenses.
*Support to Professionals:*
1. Assisting executives with project tasks and all company projects.
2. Providing support to other professionals within the organization.
*Additional Responsibilities (depending on the specific role):*
*Supervision:*
Supervising staff. Training and orientation of new employees.
*Database Management:* Managing databases.
*Coordination:* Coordinating with other organizations.
*Key Attributes:*
*Communication Skills* .
Courteous, strong verbal and excellent written skills are essential.
*Organizational Skills:* Strong organizational skills and attention to detail.
*Technical Skills:*
1. Proficiency in office systems software.
2. Proficiency in typing (at least 45-55 wpm) and shorthand (at least 90-100 wpm).
*Computer Literacy:*
Excellent computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), are essential.
*Time Management:* Efficient time management skills are important for prioritizing tasks and meeting deadlines.
*Interpersonal Skills:* Good Interpersonal and teamwork skills are needed for interacting with clients and colleagues.
*Problem-Solving Skills:*
Ability to identify and solve problems effectively.
*Adaptability:*
Ability to easily adapt and flexibility when handling a variety of tasks will be an added advantage.
*Confidentiality:* Ability to maintain confidentiality is a key requirement for this position.
*Requirements :*
1. Full Grade 12 School Certificate:
2. Secretarial Diploma or equivalent.
3. Minimum of 2 years working experience.
4. Must be above 30 years.
5. Must be mature with the ability to work under minimum supervision.
6. Can handle work pressure and able to multi-task.
7. Membership in the Professional Secretaries Association of Zambia will be an added advantage.
