Logistics and Administration Coordinator Embassy of Switzerland, Harare The Embassy of Switzerland in Harare is seeking an experienced, highly organized, and proactive Logistics and Administration Coordinator to support the smooth operations of the Embassy. The ideal candidate will work closely with the Head of Finance, Personnel, and Administration to manage a variety of logistics and administrative responsibilities. Key responsibilities: LOGISTICS: Oversee the maintenance of three properties, ensuring that service and maintenance agreements are up to date, and payments are processed promptly. Manage office equipment and furniture, including the annual updating of the assets inventory. Coordinate the importation processes for purchases and material orders and take the lead in initiating and processing the Annual Order. SECURITY: Act as Deputy Security Focal Point, assisting with security-related matters and processes. Support the Security & Crisis Management Team in updating the security manual, conducting security drills and training, and ensuring the monitoring of infrastructure and security equipment. ADMINISTRATION: Assist with the arrival and departure of diplomats, including temporary accommodation and handling import/export procedures for good being relocated. Manage accreditation procedures for diplomats and their family members, including registration, deregistration, renewal, and of diplomatic ID cards. Contribute to the regular updating of the Operational Manual for the Embassy. RECORDS MANAGEMENT / ARCHIVING: Manage records and central archiving systems for the Embassy. Lead the introduction of GAIA (records management application) and oversee the phasing out / transition from the current digital and physical filing systems. Qualifications & Skills: Proven experience in logistics, administration, and/or facilities management. Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent communication skills in English. Knowledge of either German or French is an advantage. Experience in managing properties, security protocols and records management systems. Knowledge of diplomatic procedures and experience in a similar environment is an advantage. Ability to work independently and as part of a team.
