PROJECT MANAGERS (2) Job Summary The security Project Manager is responsible for leading and developing a strong management and administration team capable of exercising effective operational and financial management and operational controls of the contract while fostering a positive working environment that ensures customer satisfaction. The position is tasked in taking a lead to deliver service excellence, attain project profitability, business development and growth, practice effective financial management and ensuing attainment of high compliance culture in the arear of health, safety and environment management in line with set delivery standards. Duties and Responsibilities Reporting to the Deputy Country Director, the Project Manager shall be responsible for carrying out the following activities: • Carry out the day to day management of the contract office including managing client relations, new assignment/job start ups to ensure uninterrupted work flow and provision of services in line with expectations from both parties. • In liaison with the Head of Finance, prepare and manage budget and targets for the entire project operational / administration staff and also planning on both a short-term and long-term basis, for future operational growth and expansion. • Develop, review, monitor and manage budgets and capital expenditure while implementing effective financial controls. Take a leading role in ensuring profitability, maintaining the responsibility and control of all financial impacts to the contract. • Develop and implement project/operations strategic Security Services Management ensuring ongoing compliance with all company-wide programs. • Develop Business Continuity Programs by formulating, proposing, implementing and revising Project strategy and operations. • Design and implement a comprehensive security service programme consistent with identified risks and agreed clients’ contractual terms.Maintain and implement Service delivery Standards to inform value for money and client(s) satisfaction. • Responsible for the management and operational control of all Projects/Operations, Technical and associated tactical resources deployed / allocated within the project boundaries. Direct all operational aspects of the project including operations, customer service, technical services, sales functions and administration ensuring a smooth running of the contract. • Manage the operating equipment in line with expectations, conducting inventory and study opportunities to reduce losses and damages, and ensure consistent and accurate inventories are taken in accordance with GardaWorld processes and procedures. • Review contracts, collaterals, quality and service standards on regular basis and ensure compliance to set standards of services. Maintain and enforce all quality, service standards and procedures for project operations. • Establish standards, conducts spot checks on internal controls and ensures compliance. Constantly reviews the current procedures and practices to ensure they are simple for staff and clients. • Address customer and employee satisfaction issues promptly and adhere to high ethical standards, and comply with all regulations/applicable Malawian Laws. • Manage client relations ensuring they are maintained within the standards, including regular contact with clients, proactive problem resolution, and oversight regarding daily client issues. • Responsible for bringing out the best of contract staff by providing training, coaching, development and motivation, fostering a positive environment in which personnel are able to thrive. In collaboration with HR Department, facilitate employee learning and development by assessing capability, identifying gaps and designing training interventions to redress the. Expected to identify business, department and individual needs or gaps. • Seek and seizes continuous business growth opportunities. Assess the market conditions and identify current and prospective sales opportunities and develop business growth forecasts, financial objectives and business plans to meet goals and metrics. • Locate areas of improvement and propose corrective actions that meet challenges and leverage growth opportunities and stay abreast of competition and provide reports on market movements and penetration via monthly performance reports. • Network to improve the presence and reputation of the company in the region. Share knowledge with other branches and headquarter on effective practices, competitive intelligence, business opportunities and needs unique with the region. • In collaboration with HR department, manage disciplinary issues in line with the provisions of the Malawian Labour Laws and company policy and ensure fairness and transparency, thus minimizing instances of litigation and other risks. Drive grievance resolution and ensure that all pertinent issues are addressed in a fair, confidential and transparent manner. Qualifications, Experience and Other Attributes • Bachelor’s degree in security management, project management, facilities management, general management, business administration or related filed. • Minimum of ten (10) years security operational management experience. • Good exposure to security operations and business financials. • Experience in leading and managing diverse teams of professional staff as well as large contingent of blue collar workers. • Excellent computer and communication skills. • Strong leadership skills with hands on capability and great management style. • Demonstrate a high degree of sensitivity and confidentiality when dealing with internal and external stakeholders. • Business/Commercial acumen and a strategic thinker with ability to make sound business decisions. • Ability to maintain confidentiality in all matters. • Strong interpersonal skills. • Ability to work on own initiative and good adaptation to rapidly changing environment. OPERATIONS MANAGERS 8 The position is accountable to the Head of Security operations or if at Project site to the Project Manager. Job Summary: Principal role is to manage and coordinate Operations functions for a region or a project with focus on the management for all elements of the guard force operations and cash management services to ensure compliance with all contractual requirements and company procedures and to assume all operation functions and duties. Key Responsibilities: • Overall co-ordination of all operations. • Overseeing and or conducting security surveys in both prospective and current client’s property and advising the Head of security Operations/Project Manager or client accordingly. • Reconciling manpower with the actual jobs at the end of each month. • Administering operation staff leave and relieving procedures. • Ensuring that company security procedures are dispatched and adhered to in all assignments. • Monitoring and controlling the usage of operations motor vehicles and motorcycles to ensure efficient and effective utilization. • Support sales by proving leads and assist in tendering process and presentation. • Plan and manage implementation of social cash transfer for banks and NGOs. • Coordinate and supervise cash pay-outs across the country including cash logistics, service delivery, reconciliations, liquidation and invoicing. • Ensure cost are optimized through allowance and OT claims management as well as monitoring fuel usage of cash vehicles. • Maintaining discipline within the guard force in liaison with the Human Resource Offices of the region or project site. • Procuring and controlling the entire operations equipment in line with the budget allocation in liaison with the stores and accounts departments. • Identifying Operations staff training needs and advising the Head of security Operations, the Project Manager and the Head of Human Resource accordingly • Look to increasing performance levels by identifying and demonstrating areas of physical and procedural high-risk weakness of clients. • Reporting and rectification of all substandard observation in the first instance to the supervisors. • Reinforce the training of the guard force to attain international standards. • Keeping abreast of technological and other improvements which could contribute to the better security. • Liaising with external agencies such as the Fire, Police, Hospital, and welfare authorities • Generating assignment instructions for each post. • Compliance – full conformity to policies, standards, regulations, and all other contractual and Company requirements. • Any other duties assigned to you by management. Qualifications & Experience • Advanced Diploma or Bachelor’s degree in security management, Project Management, Facilities Management, general management or business administration or related field. • Minimum three (5) years managing large local guard force contingent. • Good exposure to security operations and business financials. • Experience in leading both to administration staffs and the rganizat guard force. • Experience of working in labour intensive and rganizat environments. • Tech savvy with good IT skills. • Conversant with Malawian criminal and labour laws. • Trained as a minimum to have/show proficiency/knowledge in self-defence, report writing, occupational safety, threat evaluation, emergency and bomb threat response, protection of information, responding to emergencies, fire prevention and protection, conducting risk assessments and legal aspects of providing security services, and radio/telephone communications. • Must have ability to comprehend orders, follow instructions and directives quickly, communicate effectively, and be reliable, firm, courteous and tactful. HUMAN RESOURCE OFFICERS (2) Reports to: Head of HR, Malawi Job summary The HR Officer-Malawi will work closely with the Head of HR, Malawi to ensure the implementation of Human Resource policies, procedures, and regulations which are aligned to Strategic and Business goals considering application of relevant laws and company policy. The incumbent will contribute towards the implementation of performance standards enabling our staff to contribute their best. They will also handle various matters including drafting and reviewing contracts, implementation of salaries and benefits, enforcing the HR policies and Code of conduct and generally supporting the Malawi business operations. Key Responsibilities: • Lead in the on-boarding and induction of new staff including training on HR policies, disciplinary code and code of ethics. • Promote employer-employee engagement by providing guidance and consultation regarding problem solving, dispute resolution, regulatory compliance and strive to resolve internal conflict both formally and informally through appropriate conflict management and mediation techniques. • Support in the development and facilitate the administration of HR policies and procedures; create awareness to ensure compliance throughout the company; Analyse staff data and provide recommendations for improvement of organization’s HR policies and practices. • Keep updated with changes to employment and labour relation laws and regulations and make recommendations to management on the adoption of best practice. • Analyse, advise and facilitate the end-to-end disciplinary management process including but not limited to grievance handling, dispute resolution, investigations, and disciplinary action for legal and policy compliance and internal alignment on corrective actions. • Participate in negotiations and consultation with the staff representative (s) on behalf of the Company with a view to achieving positive outcomes to proposals which meet the Company’s business goals. • Interpret and administer labour agreements entered by the Company. • Maintain harmonious industrial relations with the various bodies the Company interacts within the performance of its business. Key responsibilities The incumbent is responsible for installation and maintenance duties that include but are not limited to: • Domestic and Industrial electronic security systems installation • Installation of intruder alarm systems • Repair/Maintenance of electronic security systems • Fault diagnosis and maintenance of various components of electronic security systems • Installation of electric fences and any other technological /electronical components • Installation of CCTV cameras • Installation of fire alarms • Installation of access control units • Installation of panic button along with related repair and maintenance • You will be responsible of taking care of for all the technical material you are to request for a particular assignment until the work is done. You will have to pay for any loss/misplacement of technical materials in your hands. Competencies • Has practical experience with security system installations. • Writes and speaks clearly, succinctly and correctly. • Basic knowledge of MS Word, Excel, MS Project. • Works in an ethical manner, is systematic, methodical and orderly. • Ability to work and interact within teams. • Appreciates the need to work beyond the call of duty if necessary. Education and Experience • Educational background in Electronics/Electrical Engineering, Telecommunications – Diploma – Higher Diploma • Minimum of 1 – 2 years’ experience as an installations technician in a busy environment include demonstrable experience in security system installation, configuration and testing. ACCOUNTANT (1) LILONGWE) Reporting to the Financial Controller tenable at Lilongwe (Head Office) Job summary: Updating suppliers accounts by posting invoices, reconciling the suppliers accounts with their statements, processing payment requests for the suppliers and following up issues arising from suppliers. Ensuring that the AP list is fully supported and reconciling with general ledger. Ensuring adherence to terms of payments set for suppliers. Key Responsibilities: • Invoices posting and updating supplier’s accounts • Receipting of invoices from suppliers. • Matching invoices to LPOs and GRNs. • Posting invoices to supplier’s accounts. • Reconciling supplier accounts balances with suppliers’ statements. • Suppliers payments requisition • Preparing of payment requisition vouchers for suppliers who are due for payment – ensuring that vouchers are properly supported i.e. IR, LPO, Tax Invoice, ETR and signed to the mandate. • Work hand in hand with Procurement department in ensuring that suppliers follow GW supplier payment processes and procedures. • Preparing Intercompany related payments request, ensuring full support and tax requirements. • Preparing foreign suppliers payment request, ensuring full support for the payments. • Proper filing of all payment vouchers after posting monthly. • Statutory requirements • Ensuring supplier payments request adhere to statutory requirement – availability of ETR, deduction of WHT, invoice with VAT registration number etc • Ensuring that foreign supplier payments meet the required statutory minimum before they are paid. • Submission of compliance documents to the authority (Bank/MRA etc) on request. • Other and Utilities Payment and Management • Ensuring that all company related utilities are paid before the disconnection dates, these will include Water, electricity, telephone bills, SMS module bills, MV tracker data bills, Data bundles, Office internet connection bills. • Maintain a monthly schedule of utilities paid by type and payment details. • Ensure that all utilities costs are captured in the month. • Ensuring that all medical subscriptions (MASM etc) are paid before the set datelines. • Final/Terminal dues management • Writing and posting of approved terminal dues cheques and handing them over to signatories. • Recording all the final dues cheques processed, posted and signed. • Handing over the terminal dues files and cheque to the HR department. • Suppliers documents • Keeping suppliers’ documents in well-marked files showing their status of processing in the system (received invoices, posted invoices, paid invoices). • Zero loss/ misplacement of supplier’s documents. • Other Duties • Acting position in absence of other staff in the Finance department as directed by the Financial Controller. • Other duties in Finance department as directed by the Financial Controller. Competencies • Ability to keep up to date with new accounting rules and regulations. • Process and adapt when new ideas or technology causes change. • Good communication skills to both internal and external staff/people. • Establishing and maintaining positive relationships and credibility with other team members inside and outside the Company. • Decision making skills. • Working with minimal supervision. Qualification and Experience • Degree in accounting, finance, or commerce. • Professional accounting certification – ACCA, ICAM. • Computer literate. • Technical skills in bookkeeping/cash book management. • At least 3 years’ working experience in a busy environment.
